Hi! My name is ________ and I’m calling on behalf of our Macintosh user group, QMUG/LA. We have a special event coming up and I would like to speak with someone regarding donating promotional items for our event. Who would I speak with regarding Macintosh User Group Relations? Is there a “special promotions” person, a “public relations” person, or “marketing” person that might be able to assist me?

[Once connected to appropriate person:]

Hi! My name is ________ and I’m calling on behalf of our Macintosh user group, QMUG/LA. We have a special event coming up, our 4th anniversary celebration, and I would like to speak with you about donating some promotional items for this exciting event.

This June, 1998, we will be celebrating our *4th* Anniversary for which we are contacting certain companies to give them the opportunity to participate in our celebration. In honor of our 4th anniversary we decided to take this opportunity to help companies promote their Mac products which are at level or version 4 - corresponding with our “4th” anniversary.

In exchange for donating your version 4 product, we will prominently feature the item on our *4th* Anniversary web page as well as print advertisements. In addition to these free visual advertisements for you, we will also allot time at our *4th* anniversary party to encourage and explain to our members why purchasing your products is highly beneficial and recommended. By donating your products for us to promote you are making it possible for us to MUTUALLY CELEBRATE EACH OTHER.

We are asking our corporate sponsors to donate (4) copies of <<Possible Sponsor Product(s)>> for our “Four is Fab!” raffle. Perhaps you’d prefer to donate one <<product>> along with (3) vouchers which the winners can later exchange by contacting you directly. We are happy to accept “vouchers” instead of the actual product for the raffle although our experience has shown that people prefer to SEE/TOUCH what they’re trying for. [IF NOT 4...“how about at least (1) copy of <<Product>>?”]

So may we count on your donation? [DO NOT provide alternative donation suggestions until the person actually says “NO.” If yes, skip past alternatives.]

If you’re not able to donate any copies of <<Product>>, would you be able to donate four (4) “user group” price coupons, or discount coupons (of 40% or $40 off) <<Product>>. We’d appreciate it, if you include an expiration date, that you allow at least four months for the winners to purchase this product. That would put the expiration date to at least Sunday, October 4th, 1998 -- if you feel that one is absolutely necessary.

Well, we would be happy to accept four (4) product- or company-logoed t-shirt(s), mug(s), and other such items, to promote visibility of your product and company to our members.

So may we count on your donation? [If yes, “thank you very much”. If “NO”, then ask person to think about it. “Perhaps you need more time to think about it or discuss it with other staff members. I would be happy to contact you, at your convenience, to discuss this with you further. May I schedule an appointment to contact you sometime next week?”]

In addition to your generous donation, to further promote the visibility of your product(s) and company to our members, I would like to ask you for a company-logoed letter expressing your congratulations as well as the importance of user groups to your company for us to read, and post, at our *4th* anniversary celebration on Monday, June 8th.
